Access and Security (TMS)

To access options for managing security environment and data access, follow these steps:

  1. From the Settings Setup_gear.png page, scroll down to the Project Settings section and click on Access and Security.

    The Access and Security page opens.

  2. Select required options:

    • Email Notifications

      Users or vendors assigned to the project will receive notifications concerning assigned work, status changes and other updates. If not selected, no notifications are sent.

      Does not override Notify providers settings when creating a job.

    • Receive webhooks for this project

    • Allow loading of external content in editor

    • Notify job owner when job status is changed

    • CAT web editor enabled for linguists

      Project Managers can control which environments their Linguists and Vendors may work. With this box checked, translators can click on file names and open them in CAT web editor.

    • Linguists may download their translation jobs

      Linguists and Vendors may download bilingual content for translation outside of Phrase. Bilingual MXLIFF files, bilingual DOCX files, and TMX files may be downloaded for translation in the CAT desktop editor or other external editor.

    • User metadata displayed to linguists in the editor

      Linguists and Vendors may see who translated identified TM matches. Deselect to provide anonymity.

    • Grant access to Phrase technical support

      Phrase Technical Support has access to your profile to help resolve technical issues.

    • Activate/deactivate linguists automatically

      Team, Ultimate and Enterprise editions enable the creation of an unlimited number of users and have them activated and deactivated automatically based on task assignment.

    • Use vendors for projects

      Allow the use of Vendors that facilitate the sharing and collaboration of files across organizations.

    • Linguists may start a workflow step only if the preceding step has been completed

      Restrict or allow translators and reviewers to work simultaneously on one job or not until the job is set to Complete. See Workflow overview.

    • Linguists may edit locked segments

      Linguists and Vendors are permitted to edit locked segments by clicking F2.

    • Linguists may edit tag content

    • Linguists may edit source

      Linguists are permitted to edit source texts including the splitting and joining of segments.

      If not selected, Linguists are not permitted to:

      • Edit the source language in the Editor. Pressing F2, triggers the message Source edits disabled by project owner.

      • Upload bilingual MXLIFF or DOCX files with edits in the source segments including modification in the UI, API, or Editor. Attemps triggers the message Source edits prohibited by project owner. Upload failed.

      • Join or split segments.

    • Linguists may download the LQA Scorecard

    • Usernames displayed in LQA scorecard

      When disabled, all names are replaced with the user id and organization name.

    • Users may turn on/turn off auto-propagation of repetitions in editor

      Permits Linguists and Vendors the option of enabling or disabling the Auto-propagation of Repetitions feature in the editor.

    • Users may turn on/turn off Instant QA in the editor

    • Vendors of shared jobs may upload references

  3. Optionally set which Vendors can change shared job due date.

  4. Set Session timeout value.

  5. Select Use secure HTTPS for Webhooks if required.

  6. Set Trusted IP Addresses or ranges (Ultimate and Enterprise editions only)

    If specified, users are not able to access their profiles from other addresses. Select Advanced to set access options based on user roles. Ranges are specified with a CIDR suffix.


    Only IPv4 addresses are supported.

  7. Click Save.

    Preferences are applied.

Two-factor Authentication

Available for

  • All paid plans

Two-factor Authentication, also called Two-step Authentication or 2FA, increases the security of a user profile. The profile is linked via Google Authenticator, Authy or another compatible application to a mobile phone.

Once set up, the profile is linked to the app on your phone. When signing in to a Phrase profile, you are prompted to provide your username, password and a code that are received on the phone.

If already using Google 2-Step Verification with a Google account to sign in to Phrase, two-factor authentication is not required nor available.

Two-factor authentication has to be enabled on user level. It cannot be enforced for all users by an Administrator.

To set up Two-factor Authentication, follow these steps:

  1. Install an authentication application to a phone.

  2. From the Settings Setup_gear.png page, scroll down to the User Settings section and click on Two-factor Authentication.

    The Two-factor Authentication page opens.

  3. Scan the presented QR code with a phone.

    The application displays a six digit code.

  4. Enter the code in the Code field.

  5. Click Verify.

    The profile is linked to the application on the phone.

When signing in to Phrase, a username, password and the access code from the phone application are required.
