Term Bases (TMS)

A term base is a terminology database. Storing terminology helps keep translations consistent within projects and ensures translators use correct designated terms.

  • Term bases can be multilingual and can be assigned to multiple projects.

  • Terms will be suggested from the all available locales of a specified language.

  • Specified Linguists or Vendors may have unlimited editing rights for any term.

  • Term bases can be accessed and edited by Guest users (clients) if such a role is available in the selected subscription plan.

  • A maximum of 10 term bases can be assigned to project/language pair.

  • Existing term bases can be imported or exported.

Term bases can be assigned to projects in the following modes:

  • Read: Checks if terms are found in the source text, if so they are returned on the CAT pane.

  • Write: Terms can be added and edited (with limits) by linguists during translation.

  • QA: As part of quality assurance, it is checked if terms with Approved status in the source have a corresponding term translation (New or Approved status) in the target.

Term bases are concept-based; a single term in a language can have one or more counterparts in other languages. The term base module also supports multiple languages in a single term base.

Create a New Term Base

To create a new term base, follow these steps:

  1. Term bases can be created from three places:

    • Click the plus new_template.jpeg icon beside Term bases in the left hand navigation panel.

    • Click New from the Term bases page.

    • Click Create new from the Term nases table on a project page.

    The Create page opens.

  2. Provide a Name.

    Term bases can be used for multiple projects so the name does not need to be specific for a project.

  3. Select Languages.

    There can be an unlimited number of languages in a term base but a maximum of 10-15 languages is recommended. Less than 30 languages is still manageable, but more than 50 languages cause the TB to become slow and hard to work with.

  4. Provide business information and a note if applicable.

  5. Click Create.

    If created from a project page, the new TB is added to the list on that page.

    If created elsewhere, the new TB page opens.

Term Base Page

Clicking on a TB from the Term bases panel or a project page opens the term base page.

  • New terms (not approved) are displayed in grey.

  • Forbidden terms are displayed in red.

  • The term concept (source term, target term, synonyms) is displayed as a block of rows distinguished with white and blue background colors.

  • Term attributes are displayed in columns that can be customized by clicking Setup_gear.png.

Dependent on user rights:

  • The attributes of a term base can be edited.

  • A TB can be deleted. This moves the TB to the recycle bin where it will remain for 30 days.

  • Content can be searched for individual entries requiring editing. Wildcards are supported and the results can be filtered. New searches reset the filter.

  • Content can be imported from other TBs or other CAT tools.

  • Content of a TB can be exported for editing in another CAT tool and imported back.

  • Terms can be added, deleted and edited.

The Related projects table presents all projects a specific TB is associated with.

Note

Once added, target languages cannot be removed from a TB as long as:

  • There is a single entry in the TB (even if only in the other target languages).

  • The TB is used in an existing project.

  • The TB is used in any project template.

Edit Term Attributes and Concepts

Attributes or a concept can be added to a term. These attributes and concepts are visible to linguists in the CAT editor and help guide their use. Attributes or concepts cannot be added directly in CAT editors.

To view and edit term attributes, follow these steps:

  1. From a term base page, click on a term.

    The editing page opens.

  2. Apply or edit attributes.

    Term attributes do not serve as a basis of any checks or warnings unless specified as Forbidden.

    • Term

    • Language

    • Status

      • Terms added by Linguists are New by default.

      • Terms created by Project managers, Guests, or Linguists with terminology user rights have the status Approved.

      • Linguists may only edit terms with New status, including those created by other Linguist users.

      • Project Mmanagers, Guests, or Linguists with terminology user rights may edit any term and can set the term status (e.g. from New to Approved).

    • Preferred

      • If multiple terms are similar, one can be marked as Preferred.

    • Forbidden

      • When a term is marked Forbidden, Linguists are informed not to use it. A QA check displays a warning if this term is used in the target.

    • Case sensitive

    • Match type (Fuzzy or Exact)

    • Usage

      • A example for usage is displayed in the CAT editor. This provides context for terms and minimizes errors.

    • Part of speech

    • Gender

    • Number

    • Note

    • Short translation

      • A shorter equivalent to a term such as fridge in place of the full refrigerator. May also used for multi-word terms such as VIP in place of Very Important Person or FYI in place of For Your Information.

    • Term type

  3. Apply or edit concept.

    Concept groups the source term with its translations and synonyms.

  4. Click Save.

    Terminology metadata page opens with change applied to selected term.

Create a New Term

To create a new term as a PM, follow these steps:

  1. From a term base page, click New.

    The new term pane opens with empty fields for all languages in the term base.

  2. Fill in terms for each language.

  3. Click Add.

    The new term is added to the term base.

To create a new term as a Linguist, follow these steps:

  1. From the editor, under the Tools menu, click Add term (or ALT+T)

    The Add term pane opens at the bottom of the editor.

  2. Provide Source term and Target term.

  3. Specify options:

    • Preferred

      • If multiple terms are similar, one can be marked as Preferred.

    • Forbidden

      • When a term is marked Forbidden, Linguists are informed not to use it. A QA check displays a warning if this term is used in the target.

    • Case sensitive

    • Match type (Fuzzy or Exact)

  4. Click Add.

    The new term is added to the term base.

New terms added by a Linguist with standard user rights will have the status New and are are indicated in the editor by a light grey TB text. New terms added by a Linguist with rights to edit all terms in a TB will have the status Approved.
