Job templates help automate and streamline job creation process and increase work efficiency on translation jobs.

There are two types of templates:

  • Project-based job templates:

They are applicable only to a single project and can be turned into organization job-templates.

  • Organization job templates:

They are applicable to any project within the organization, but cannot be turned into project-based templates.

Templates Page

All available job templates are listed under the Templates tab of the main Jobs page. Both project-based and organization job templates are displayed through the main Jobs page, according to user access rights. The organization_template.jpeg icon is used to distinguish organization templates from the project-based templates.

The Templates page can also be accessed from the Jobs tab of a project, where it displays all project-based templates from that particular project and organization job templates which are available to all projects.

To display only project-based or organization templates, select the relevant option from the filter dropdown at the top of the templates list. Templates can also be searched for in the templates list or through the Templates dropdown menu at the top right of the page.

Use the buttons at the right of each template to view, edit, duplicate, or delete it. Click on Use template to create a new job based on the desired template.

The same options are also provided under the Templates dropdown menu at the top right of the page: click on more.jpegnext to the desired template to display actions for viewing, editing and using templates.

Creating Job Templates

Both project-based and organization job templates can be created through the Templates dropdown menu. If the template is added from the main Jobs page, an organization job template is created. Adding a job template from the Jobs tab of a project creates a new project-based template.

If opening the Templates dropdown menu from the Create new job page, both project-based and organization template types can be added as new templates.

To create a job template, follow these steps:

  1. Open the Templates dropdown menu and select new_template.jpeg.

The Create a new template page opens.

  2. Provide a name for the template and select an owner from the dropdown list.

  3. Optionally, provide a briefing.

  4. Add required languages and assign translators or reviewers for each language.

Use the Users tab in the dropdown to select single users. Use the Teams tab to select a group of users.

  5. Click Continue.

New template is saved and displayed in the Templates page.

Existing project-based templates can also be converted to organization job templates by selecting Create as organization template from the More more.jpeg menu of the desired template. Converting project-based templates to organization templates creates a copy of the existing template.

Using Job Templates

Project-based job templates can be applied only to the specific project, while organization job templates can be reused across all projects of an organization.

To use an existing job template, follow these steps:

  • From the main Jobs page:

    1. Select Use template next to the desired template.

      • If selecting a project-based template, the Create a new job page is displayed in the relevant project.

      • If selecting an organization job-template, a popup is displayed to list available projects where the job template can be used.

    2. (For organization job templates) Choose the project where the template will be used.

    3. Optionally, edit the job template in the Update template page.

    4. Click on Continue to view the job template.

  • From the Jobs tab of a project:

    1. Select Use template next to the desired template.

    2. Optionally, edit the job template in the Update template page.

      Note

If using an organization job template, users and languages that are applicable to the project are automatically added. In case of additional users and languages included in the template, an alert is displayed. The additional entities need to be added manually by a user with appropriate project permissions.

    3. Click on Continue to view the job template.

Job templates can also be selected when creating a new job. Open the Templates dropdown menu at the top right and select Use from the More more.jpeg menu of the desired template: fields of the job creation form are automatically populated with relevant data from the job template.
